Frequently Asked Questions

Everything you need to know about voicemail-to-email transcription with Speech2Mail.

What is voicemail-to-email transcription?

Your voicemail audio is automatically transcribed and delivered to your inbox with the original audio attached.

What does the email look like?

You can view a real example message (transcription + analysis) here: View Example.

How accurate is the transcription?

We leverage Azure Cognitive Services and handle multiple audio formats. Accuracy improves with cleaner audio and common vocabularies.

Will this work with my PBX?

If your PBX can email voicemail via SMTP, it will work. We commonly see Avaya IP Office, Allworx, and 3CX environments.

What are the intake methods (SMTP vs IMAP)?

We support two ways to ingest voicemail emails. Incoming SMTP (preferred) is the fastest and most direct: your phone system sends voicemail emails straight to Speech2Mail for immediate processing. If your phone system’s SMTP settings can’t be changed, IMAP mailbox intake is a reliable alternative where we retrieve voicemails from an IMAP mailbox (Microsoft 365, Google, or any IMAP provider).

Do I need expensive PBX licenses or add-ons?

No. Speech2Mail does not require per-user, per-extension, or PBX vendor add-on licenses. If your voicemail can be emailed out, Speech2Mail can process it.

How long does setup take?

Most deployments are live in minutes. Incoming SMTP is typically just a few SMTP fields in the PBX voicemail email settings. For IMAP, we connect to a mailbox and start processing right away.

Do you support multiple languages?

Yes. Configure language preferences per customer and use localized templates.

Is there an API?

We provide a multi-tenant dashboard and are developing partner APIs. Contact us to discuss your use case.
