SMTP vs IMAP Voicemail Intake

Compare Speech2Mail incoming SMTP and IMAP mailbox intake methods for voicemail transcription and analysis.

Incoming SMTP

The PBX sends voicemail email directly to Speech2Mail. This is the preferred option because it is clean, fast, and simple to support.

Email forwarding

One or more user, company, department, or team mailboxes can forward voicemail emails that contain audio files to Speech2Mail. The processed transcript and analysis returns to the email address that forwarded each message.

IMAP mailbox

The customer forwards voicemail emails to a managed mailbox. Speech2Mail monitors that mailbox and returns the processed result.

Which should you use?

Use SMTP direct when the PBX or VoIP platform can be configured to send voicemail email to Speech2Mail. Use email forwarding when voicemail already lands in one or more user mailboxes and each sender should receive the transcribed reply. Use IMAP when forwarding to a managed mailbox is easier or when you do not control the customer phone system email route.
